10 PowerPoint Shortcuts That Are Barely Known

Shortcut is the key combination on computer keyboard that commonly accustomed to execute some instruction or particular feature in a computer program or application. Most familiar shortcut is Ctrl+C to copy a text and Ctrl+V to paste one.

Both shortcuts are well known, by using such kind of shortcut several kinds of instructions and feature will be more quickly accessed.

By using a specific shortcut our work can be done faster and boost our productivity as well.

PowerPoint as a popular program has many shortcut that can help us to create or edit a presentation. In reality, do you know that in Power Point there are many shortcuts that still rarely known and widely used. This tutorial will tell you 10 shortcuts that rarely known by PowerPoint user. Let’s now check it out the shortcuts.

1. Ctrl+M to make a New Slide

The first shortcut is Ctrl+M that you can use to make a new slide. Most common way to do it is to click new slide icon on home menu. You can use the shortcut by simultaneously push C and M key on your keyboard each time you want to make a PowerPoint Presentation.

2. Ctrl+G to do a Grouping

Grouping is a way to combine some objects, by grouping you can edit the objects at the same time. Usually people do grouping by clicking right button of the mouse, select group, and finally do grouping, it just take too many steps. With the shortcut it can be done much easier and faster. Just select some particular objects you want to group and then press C and G key on your keyboard simultaneously, and voila you just did it.

3. Ctrl+Shift to Ungroup

As the opposite of Grouping, Ungroup is a technique to split grouping objects. Ungroup is very useful when you want to edit a particular object individually. Normally, ungrouping done by selected an object that will be ungrouped with a mouse cursor, right click on the mouse, select group, and then do ungroup. For faster way use the shortcut by select ungrouped object then simultaneously press C+Shift+G.

4. F5 to start a Slide show from the first Slide

To start slide show we commonly execute it by select first slide of our presentation and click Slide show icon in right corner of the bottom of your screen next to the zoom icon. By using shortcut what you need is just simply use a single key. Press F5 and your slide show will starting from its first slide.

5. Shift+F5 to do a Slide show from an active Slide

It is simple to start a slide show from a very first slide, but how to do a slide show from an active slide or when the slide’s editing is still on the way? Just use the shortcut by execute Shift+F5 key at once and a Slide show of an active Slide will be starting. You can do this feature when you want to test our slide, whether it is appropriate in a slide show or still need more improvement.

6. Ctrl+Shift+> to increase text’s size

Habitually we increase our text size by select a specific text and the click home menu and after that click the large “A” icon for several times to get specified size. A shortcut to do the similar execution can be done by select a particular text that you want to enlarge and then press Ctrl+Shift and finally press > for several times to gain your suitable size.

7. Ctrl+Shift+< to minimize text's size

When your text dimension look too large you can decrease its size by use combination of Ctrl+Shift+< for several times up until its size decrease to your suitable dimension.

8. F12 to Save As

You do Save As when you want to save a similar presentation in a different name. We usually did it when we want to keep the original version of our presentation, but still, have to do some editing for a particular project. The most customary fashion to do it is by select File Menu, find Save As, type your certain file name, and save the presentation. For a straightforward way just use a shortcut to Save As by using the F12 key in your PowerPoint, type a certain file name, and it is done. You can also do a similar technique in other Microsoft Office Applications such as Microsoft Word and Excel. 9. Ctrl+D to Duplicate an Object

In order to make an object’s duplicate the common way to do it is by Copy the certain object and Paste it in a PowerPoint Slide Presentation. Select your targeted object and use a combination of Ctrl+D, you can duplicate the object as many as you want by do the combination over and over again.

10. Ctrl+F1 to Bring out or Hide in the Ribbon

Ribbon is a cluster of button and icon located under every Menu in a Microsoft Office Application, including PowerPoint. With the intention to make a more comfortable editing process, sometimes we want a larger view of our presentation slide. We can have it by hide in the Ribbon. Use a combination of Ctrl+F1 to hide it in and just do the shortcut to bring it out.

Presentation “world” will always have something to do with public speaking. If you want to be an expert presenter, or at least be a good and effective presenter, you need to have public speaking technique.

The main ability you must have to master public speaking is of course communication ability or the ability to speak. It means that you can speak clearly and intelligible.

So, it is important to have a good vocal ability. Vocal ability here means the ability to speak with precise volume and clear articulation. Volume and articulation are factors that make your voice can be heard clearly by the audience.

If the audience cannot hear your voice clearly, their attention to your presentation decreases. It could make your presentation less interesting. Besides, there are other things that support your public speaking, such as gestures, material and tools you use. The most important thing of all is self confidence. There are some ways you should do to improve your public speaking.

There are some things that make your voice indistinct, and a lack of confidence is one of them. You can’t rely on a microphone to throw your voice – you need to do that yourself. Feeling nervous or anxious will prevent you from doing this, as will self-consciousness.

Nervousness can lessen your voice. You become shaky, and it affects your voice volume. To increase the power of your voice, you have to have faith in yourself.

You have to believe in yourself that you can give the best. To improve your self-confidence, you can practice delivering a speech in front of your relatives or friends. Make sure you’re also wearing comfortable clothes, and make time in the morning to look your best. If there’s a part of you that you’re particularly self-conscious of, take steps to lessen their impact on you. If you’re conscious of your hands, for example, hold on to something to stop them from moving around. This resonance technique can be trained by closing your mouth, then saying “Hmmmmmmm” using your chest voice. After doing so, try to speak by combining your chest and belt voices. You can practice also by reading loudly. When you can read loudly, although sometimes you make mistakes, you have enough resources to speak in front of public. Practicing reading loudly can make you learn how to articulate words properly.

3. Practicing by telling stories to children

Reading tales to children can help improving your public speaking skill. Telling tales needs some sort of skill in order to make the story more amusing to children. When telling tales, you need volume, good articulation and rhythm that suits to the story. Sometimes, you have to whisper, sometimes you have to scream while telling tales to children. Chose a suitable presenter and then learn his/her style in delivering presentations. Notice and learn the gesture he/she uses when speaking in front of public. Notice also the material he/she deliver and how he/she deliver it. After that, adjust his/her style to you style and personality. Don’t force to use another people’s style if it doesn’t suit you.

5 Presentation Techniques From Steve Jobs

Jobs’ performance on a presentation is always expected and waited by many people. Here are some techniques used by Jobs that lead him to be a successful presenter.

1. Create stories as a background to your presentation

The first secret is how you create a story behind a presentation. Everyone loves story. The presentation that has a story in it will always be remembered by the audiences.

The reason is very simple, stories are easily remembered. That is why you will always remember your childhood’s stories told by your parents. The audiences will remember your stories and forget anything else.

Steve jobs masters this technique properly. In every presentation he always delivers a story. When he introduced iPod in 2001, he did not explain iPod as a merely MP3 player. He chose to tell a story about iPod as 1000 songs in your pocket.

2. Create simple but visually strong slides

A good slide is usually not a complicated one. A good slide is a simple one, accurate, and helping the audiences to grasp quickly the idea that the presenter wants to deliver.

In every presentation, Steve Jobs always uses very simple slides. Sometimes, they contain just pictures with no words. In another time, they contain numbers, typed with big font size.

Through the appropriate pictures, he wants to evoke the audience’s imagination to imagine what he is explaining.

3. Use three parts rule

In the process of making a speech, we know a term three parts rule. It is done because people are used to understanding many things through three parts.

Jobs knows very well the strength behind this rule so that he uses this trick in many occasions. When he explained about iPhone, Jobs did not tell too many things that can lead people into confusion.

He summarized it as a revolutionary cell phone that has three function: (a) as an entertaining iPod, (b) as a smart phone, and (c) as a great internet communication media. Through these three things, the audiences could easily remember what iPhone is and they could summarize all other features.

The audiences can hardly remember more than three things. On the other side, less than 3 things are too little that makes presentation uninteresting. Use three parts of information to create strength to your presentation.

 

4. Help the audiences understand the statistics and data

Sometimes a presentation needs statistics and data to deliver important information to the audiences. Unfortunately, statistics and data sometimes are boring.

The question is how to make statistics and data more interesting? Remember! The audiences don’t care about the number you show in your presentation. They do pay attention to the story behind those numbers.

When he explained about the amount of songs that had been downloaded through iTunes, he delivered simple data by saying that 2 billion songs have been downloaded. It means 5 million songs have been downloaded per day.

It also means in a second, there are 58 songs downloaded. To make the audiences easy to imagine, he added, “This happens every minute in every hour every day.”

Now, notice how he could deliver an interesting story behind numbers and statistics. If the audiences were just given data that 2 billion songs had been sold or 5 million songs were sold per day, the audiences would hardly imagine the meaning of the statistics.

When Jobs helped the audiences by telling an analogy that there were 58 thousand songs were sold per second, the audiences could easily imagine that that was a huge amount of songs that had been downloaded.

 

5. Create extraordinary surprise momentum

A great presentation has something that surprises the audiences. If you want to perform greatly, create a surprise momentum to the audiences. This was what Jobs did in his presentation in 2008: he told that apple had made the thinnest notebook in the world. He showed a picture that showed how thin and light the notebook was.

When the audiences tried to imagine how thin this was, Jobs suddenly took an envelope and take a MacBook Air out of the envelope and showed it to the audiences. They were shocked and mesmerized. He created a surprise momentum in his presentation successfully. Actually, he could just explain about the product monotonously, but it would not give strength and emotional aspect to his presentation.

By taking out a MacBook out of the envelope, the explanation about the thinnest notebook was perfectly delivered. There was no technical explanation needed.

For you who want to be an extraordinary presenter, think and create the surprise momentum that summarized the whole presentation that will be remembered by the whole audiences.

How To Protect Your Presentation PowerPoint Files

Creating a good PowerPoint for your presentation is not easy. It takes an effort. Sometimes, you just have share that files to someone else.

How to share the PowerPoint files to others safely, so that they can never be changed?

There are 3 ways that you can do to protect those files, so someone that you have to share it with can only open it, without being able to copy, edit, modify, or delete them. And, you can do all these ways without any additional software.

1. You can protect those files with password

2. Save the files as PDF document

3. Save the presentation files as picture and put it back in your slides

1. Protect The PowerPoint Files With Password

The protection using password will lock your PowerPoint files. Only someone who knows the password will be able to open end edit it.

You can choose between a password is required only for editing, or even making the safer protection that requires password others who want to open your files.

Here are the steps:

  • Click File –> Info –> Protect Presentation –> Encrypt with Password

  • Type the password that you want

  • Retype the password

  • Save the presentation file using the ‘Save’ menu

Now, if anyone wants to open the PowerPoint file, then they have to type the password first, including you.

This is the right way to protect files that is confidential and only can be open by certain people.

If those files accidentally received by other people, then they can’t open it, unless they have the password.

2. Save the file as the PDF document

This way is perfect if you want to share your presentation for public but you don’t want anybody to edit it, because it has copyright or part that should never be changed.

You can also use this way if you’re using a special font and want to make sure if the fonts appear well in the presentation document.

This is how you have to do:

  • Choose the PowerPoint menu

Then the PowerPoint will save your presentation file in PDF format. All of information, pictures, and fonts will save in PDF. Anyone can open it without have to use embed font process.

If you have a copyright, the information will remain saved well and cannot be deleted.

3. Save the presentation files as picture and put it back in your slides

If you want to share your presentation file as PowerPoint document and you want the readers can edit some information, you can use this way. So, the other information will remain save from any changes.

In this way, there are 2 steps that you have to do. First, you have to save the presentation file as picture (in JPG or PNG). Then, you have to make a new presentation for parts that you want to keep protected, using those pictures as slides. And for the editable parts, you can copy them from your original presentation slides.

Here are the steps:

  • Click File –> Save As –> JPEG –> Save All

  • Create a new presentation file

For every slide that cannot be changed, use the slides that have already been drawn. And for the customizable slides, you can copy and paste from the original to add.
